  1. The fourth and final pillar in the Interactive Content Management platform is Content Usage Analytics. This includes capturing closed-loop feedback on how assets are being used, intelligently extracting data and information from the assets automatically, optimizing the workflow processes that exist within an organization, and presenting that information to the end user in an easy-to-understand format.

  2. One of the key technologies included in Digital Asset Manager is intellectual property rights management. This feature allows administrators to capture and communicate intellectual property rights associated with one or more assets to restrict and track the usage of assets.

  3. Several tools within the Documentum platform can be used in conjunction with Digital Asset Management to measure and optimize creative workflow processes. EMC Documentum Process Analyzer is a graphical tool for business-level users who want to easily discover and design processes running within and outside of the EMC Documentum platform. Process Analyzer can be used to create powerful, data-driven process models and associate detailed metadata for activities and tasks within a process. You can also examine process models using a comprehensive set of analysis tools including dynamically generated, multi-dimensional process visualization maps, process model validation, and customizable reports for understanding and improving process design, goals, resources, costs, and more.

  4. EMC Documentum Process Simulator runs process models designed in Process Analyzer through simulated usage scenarios. You can use Process Simulator to get information on process performance under different scenarios, compare performance between current state and revised versions of a process, and find bottlenecks and resource constraints. You can also run simulations on cost, resource requirements, and utilization rates, and even perform statistical analyses.

  5. As we’ve already seen Media WorkSpace has a relevance ranking feature that allows users to tag and rank images within Media WorkSpace using a star-based rating system to identify the gold-standard assets in the repository.

  6. Finally, reporting tools such as Documentum Reporting Services can be used to generate out-of-the-box reports on any metadata stored in the repository and help you better understand your content. Reporting Services helps administrators to understand the type, size, and usage of content while enabling business users to view workflow status or lifecycle states of documents.



Intellectual Property Rights Management

 

 

  1. This is an overview of how the Intellectual Property Rights management feature works within the Digital Asset Manager client. The small red “R” icon near the asset indicates that the asset is under rights management. If we view the properties on the asset and look at the “IP Rights” tab, we can see that the usage of the asset can be restricted by media type, geography, etc. The exact constraints can be easily configured via the data dictionary or the Documentum Composer.

  2. The rights object is also capable of storing a reference to an external document such as a royalty or contract generated by a third party system such as Jaguar System7 Universal Rights Management or Ness Technologies’ Content Office.

  3. Once one or more rights have been associated with an asset, each time a user attempts to view or edit the asset, they are prompted with a dialog that asks them to acknowledge the rights associated with the asset. The information captured on the dialog is appended to the usage history of the asset which can be viewed on the “History” tab. If a user does not want to be prompted each time they view an asset under rights management, they can select the checkbox on login which will automatically acknowledge all rights restrictions (i.e., place an entry in the usage history for the user). This disadvantage of automatic rights acknowledgement is the custom metadata such as the project being worked on and the description of why the asset is being used is not captured (only the user and the date is entered in the usage history audit trail).



Content Analytics and Search

  1. Creative users need the ability to find information quickly and easily, regardless of where it might be located. If they can’t find information quickly enough, they may spend valuable time re-creating content that is already generated but just can’t be found. Documentum Webtop Extended Search is an advanced search and discovery web client designed for use within WDK-based clients including Digital Asset Manager. With Webtop Extended Search, users can issue one search query that searches not only across the Documentum system, but also across many other information sources within the enterprise and outside the organization. Webtop Extended Search delivers these results in a dynamically clustered list based on topic, owner, content attributes, or other criteria. Smart navigation features allow users to quickly fi nd relevant information, bypassing unwanted results on other topics. These queries can also be saved as search templates for simplified sharing of commonly searched items. Various content analytics such as relevancy, number of occurrences, etc. are also presented.



Reporting Services

  1. Documentum Reporting Services can create ad hoc reports based on any metadata that is stored inside the repository. The reports, once generated, are also stored in the repository. Reports can be generated by object type, format, or any other relevant data that a user wishes to capture. Also information on who are the most frequent contributors of content can be captured.

  2. Documentum Reporting Services will ship with top 10 reports which users can tailor or they can create their own. Access to the Documentum repository is provided by Documentum JDBC Services.
