- The Media Repository is the foundation of the digital asset management solution. It is designed to be the “trusted” source for all rich-media assets. In addition to storing content, the goal is to make it easy to search and preview this content within a user’s environment. This means that content does not have to be downloaded to your local disk each time the it needs to be viewed. Instead features like “Active Preview” can be used to view page-level proofs of PDFs, publishing layouts, and PowerPoint presentations while the video details displayed within Digital Asset Manager can be used to see the key frames in a video or even stream the video directly to the browser.
- In terms of automated analysis, we are referring to automatically extracting relevant information that is appropriate for the given media type. This includes things like the length of a video, the codec that was used to encode it, the frame rate, etc. In the case of image formats, it may even be Adobe XMP embedded metadata that can be mapped directly to Documentum metadata and written back into the file after it is updated. For transformation, the Documentum Content Transformation Services products can be used to repurpose media into different formats, color schemes, resolutions, etc. The CTS family of products support rending documents to PDF, HTML, help files, image manipulations such as rotations, adding watermarks, and adding text, video transformations from broadcast to streaming/web formats, and XML from DITA to Docbook (or visa versa) schemas and to various output formats such as PDF, HTML, and help files.
- For rich classification support, the Digital Asset Management products can leverage Documentum Content Intelligence Services to automatically classify assets into taxonomies and classification schemes based on user-defined policies.
- Digital Asset Manager, in conjunction with Audio Video Transformation Services, can provide seamless access to a video archive managed by EMC AVALONIdm. Avalon provides support for large (>TB) video files commonly created by many TM&E (Telco, Media, and Entertainment) companies.

Rich-Media Intelligence—Digital Asset Manager
- At the heart of Documentum’s rich-media intelligence is Digital Asset Manager. This web-based client provides a user experience that is tailored to the creative user. In addition to all the Documentum Webtop functionality, Digital Asset Manager provides functionality such as collections, transformation wizard, media profile editing, thumbnails, loupe (zoomed thumbnail) display, lightbox view (thumbnail of asset with some metadata), active preview (view content types which are not normally viewable in a browser such as PDF, PowerPoint, InDesign, and QuarkXPress), Intellectual property rights management, and a video details dialog.
- You can see in the screenshot of Digital Asset Manager that thumbnails are displayed for all rich-media content directly in the client view. When the mouse is hovered overtop of an asset, a larger thumbnail is presented. The “loupe display” is common on websites such as Getty Images and istockphoto and we’ve included it in DAM to help users make a purely-visual choice on the asset they want to view.
- Next, we have an example of the Active Preview feature. Here, we can view page-level proofs of a PDF document without having to download this document to our local disk.
- DAM also contains a feature called PowerPoint Assembly. Each time a user imports a presentation into the system, slide objects are created from each slide in the PowerPoint and a thumbnail is generated for each slide. This allows new presentations to be built directly within the Documentum repository using slides from any other presentation available in the system without having to download these potentially large files to the local machine. The background template of the slides can be changed from a convenient drop-down menu and the presentations can also be viewed via the Active Preview feature.
- DAM also provides extensive support for video and Flash animations. When video content is imported into the system, the key frames are automatically extracted and a storyboard is created to show the layout of the video without having to view it all. However, if a user wants to watch the video, it can be streamed directly to the DAM client (which you can see in the left portion of the screen). Users can zoom right down to the frame level of the video, place text annotations on the video, view text tracks such as closed captioning, and even extract subclips of the video for reuse elsewhere.

- Organizations are using Documentum to improve their brand reach by automating and optimizing how they work with various agencies and partners. This major sporting goods manufacturer uses Documentum to streamline the process in which they select, process and distribute photographs used for marketing out to various media outlets.
- The system allows photographers to login remotely and easily upload images from photo shoots. The team at World Head Quarters is able to review the images and recommend additional edits and processing. Once that’s approved the images are color corrected by any number of vendors. The final version is then available in the system for distribution to the appropriate channel.
- This entire process used to take them 2 to 4 weeks and now it only takes them hours. The improvement in processing quadrupled for a recent sporting event the increase of available assets resulted in greater branding at the event.
