Boxful and
Asana

After implementing Asana, all the issues were resolved easily and unexpected benefits were brought about as well. Compared to the past where 2 to 4 tools were required to track and manage task progress, now only one platform, Asana, is sufficient. Furthermore, cross-departmental collaboration and communication have also been significantly improved. For example, the previously 2-3 hour technical weekly meetings were reduced to 30 minutes, greatly improving the company's operational performance.

Company Introduction

Boxful is a technology services company dedicated to solving spatial issues. It offers doorstep mini-storage services to the individual market, and subsequently launched a range of warehousing and logistics services to meet the demands of the local market. These include the enterprise warehousing solution introduced in 2018 for corporate customers, the BOXFUL e-commerce logistics service launched in 2020 for online sellers, and the Waaship – a subscription-based warehousing and logistics service platform – for individual sellers, which was launched by the end of 2022. Boxful is constantly expanding its partner ecosystem to optimize its service capabilities in response to customer feedback.

Boxful's Enhanced Operational Efficiency through Asana

Boxful was founded in 2015 and expanded its business to Taiwan in 2016. As Boxful transitioned from its early stage of entrepreneurship to rapid growth, not only did its products and services become more diverse, but its team members increased by three to four times compared to the early days. Traditional manual operations or tools gradually became insufficient, and a more efficient platform tool was needed to enhance productivity and collaboration.

Take project development as an example, in the past, the project management, IT and customer departments used different management tools respectively. As a result, team members spent a lot of time operating systems and manually inputting related information, such as setting reminders in Google Calendar after assigning tasks in Slack. Not only did this consume valuable work time, but as product and service offerings continued to expand, the existing tools were unable to adequately support various operations, necessitating a more efficient and convenient platform to optimize employee productivity and collaboration efficiency.

After an extensive product evaluation period and the professional consultation and technical support provided by its partner, Master Concept, Boxful successfully completed the trial of Asana, an advanced platform for work management, and implemented in the third quarter of 2022. In just six months, Asana was applied to various scenarios, resulting in a multiple-fold growth in the number of users and managed projects.

“After implementing Asana, all the issues were resolved easily and unexpected benefits were brought about as well,” said Yeh Yu-Chuan, Associate General Manager of Boxful Taiwan. Compared to the past where 2 to 4 tools were required to track and manage task progress, now only one platform, Asana, is sufficient. Furthermore, cross-departmental collaboration and communication have also been significantly improved. For example, the previously 2-3 hour technical weekly meetings were reduced to 30 minutes, greatly improving the company’s operational performance. “Surprisingly, through Asana’s dashboard, I can clearly grasp the cross-departmental communication and coordination status, evaluate employee productivity, and optimize internal operational decisions.”

To Boxful, Asana is like a vast, boundless ocean with abundant resources, offering a multitude of features and services that can be quickly integrated with third-party services through its application programming interface (API). For instance, Boxful integrates Asana with Slack, enabling each colleague to explore and create methods that improve work processes and enhance quality.

Maximizing Asana's Comprehensive Benefits with Boxful and Master Concept

With the assistance of Master Concept, Boxful can confidently and boldly make diversified attempts with Asana. Currently, Asana has been used to manage R&D projects, assist in service onboarding, recruit talent and onboarding process, track and optimize the effectiveness of cross-departmental meetings, and establish customer service databases. According to internal statistics from Boxful, as of February 2023, team members have established and managed 170 projects on Asana, with over 11,000 related tasks. It is evident that Asana has become an important platform for Boxful to promote business services and drive innovative growth.

For instance, to optimize the user experience and operational performance of Boxful’s e-commerce logistics services, Boxful holds weekly technical meetings, inviting colleagues from five departments including IT and customer service to discuss how to improve customer experience, respond to customer feedback, and identify areas for product and service refinement. However, as the product and service offerings continue to grow, the meeting time becomes longer and it becomes difficult to systematically track the progress of problem-solving, thereby limiting the value of the technical weekly meeting. Asana was used to solving this problem. Team members can now discuss and propose topics for discussion with cross-departmental colleagues before the meeting. Afterward, they can continue to check meeting records and establish actionable follow-up items through Asana, significantly reducing communication time and allowing colleagues to focus on core business. In addition, colleagues who are unable to attend the meeting can easily grasp the details through the platform.

Continue to expand Boxful's product ecosystem to create a win-win situation

Looking towards the future, Boxful hopes that Master Concept can provide more insightful advice from a professional consultancy perspective, thereby elevating the innovative service potential of Boxful. Regarding the role played by Master Concept, Yu-Chuan expressed her agreement by stating, “Master Concept has helped many companies with digital transformation and has the rich practical experience, which can provide us with more consultative services that meet our needs, such as introducing new functional services of Asana, letting us know how to make the best use of Asana, and how to achieve the greatest benefits through system integration.” Furthermore, Master Concept is also an important channel for communication between Boxful and Asana, allowing Boxful team members to focus on core business areas such as product development, talent recruitment and cultivation, and customer service, creating a win-win situation without having to worry about system operations, usage, and integration issues.

Master Concept has helped many companies with digital transformation and has the rich practical experience, which can provide us with more consultative services that meet our needs, such as introducing new functional services of Asana, letting us know how to make the best use of Asana, and how to achieve the greatest benefits through system integration.
